A logistics company based in the Middle East needed to simplify and expedite its customs document processing. The existing manual approach to data extraction, entry, and submission was labor-intensive, error-prone, and time-consuming, leading to delays in customs clearance and potential compliance issues.

The Solution We Presented

Veraqor partnered with a logistics client facing recurring inefficiencies in preparing data for submission to FASAH, the Saudi customs clearance platform. The client’s manual approach to data extraction and compliance formatting posed significant delays and introduced accuracy risks in document processing.

To address these challenges, we designed a desktop-based automation solution built around OCR-driven data extraction, intelligent mapping, and compliance-ready output generation—all tailored for FASAH alignment.

Desktop WPF Application with OCR Integration

At the heart of the proposed system was a Windows Presentation Foundation (WPF) desktop application, built on the .NET framework to ensure stability and compatibility with the client’s Windows-based infrastructure. The solution leveraged optical character recognition (OCR) to extract data from key logistics documents—including invoices, waybills, and supporting paperwork.

This automation layer was designed to drastically reduce manual input and streamline document workflows, particularly in high-volume customs processing environments.

Data Mapping and Excel Compliance Automation

Once extracted, the data was mapped directly into a FASAH-compliant Excel format. We engineered custom logic to ensure that each data point aligned with the required submission structure. To minimize errors, the platform also featured automated validation rules—helping teams confirm accuracy before proceeding with submission.

This ensured that the data was not only captured efficiently, but also prepared for regulatory compliance without additional formatting effort.

Bulk Document Handling and Workflow Flexibility

To accommodate varied input sources, the platform included email-based intake and bulk upload options, supporting flexible document ingestion at scale. On the output side, users could export all processed entries in ready-to-submit Excel files, streamlining the workflow for teams preparing customs documentation across multiple shipments.

Archiving and Searchable Document History

To support future audits and reporting needs, the solution featured a secure archiving module. Processed documents were indexed and stored for quick retrieval, creating a structured database that allowed users to search, retrieve, and reference past submissions efficiently.

Understanding the need for broad internal adoption, we prioritized a clean, minimal interface—limited to 5-6 key screens to reduce complexity and support intuitive navigation. The design supported non-technical users, making the transition to a digital workflow as seamless as possible.
