The Challenge Before Us
A prominent energy services provider faced delays and inefficiencies due to a paper-based vendor evaluation system. This manual process hindered seamless information flow between departments and lacked a structured approach to track and assess vendors. Integration with their existing SAP system was essential for managing and evaluating registered vendors accurately and efficiently.
The Solution We Presented
Veraqor engaged with a procurement-driven enterprise seeking to modernize its vendor evaluation workflows and reduce inefficiencies tied to fragmented, manual processes. The organization required a solution that could deliver consistency, visibility, and data accuracy while integrating seamlessly with its SAP environment.
We proposed a custom Vendor Evaluation System (VES), built using the Microsoft Power Platform, to digitize evaluations, automate workflows, and support data-informed decision-making. The design emphasized low-code flexibility, enterprise scalability, and alignment with compliance requirements.
Power Apps Interface for Evaluation and Accessibility
At the center of the solution was a Power Apps-based user interface. It was tailored to allow cross-functional teams to access vendor records, initiate evaluations, and complete assessments based on role-specific or category-based criteria. The UI was intentionally kept intuitive—removing complexity for business users while maintaining workflow depth.
Workflow Automation with Power Automate
To eliminate the need for email follow-ups and disconnected approvals, we outlined an automation layer powered by Power Automate. This module was designed to handle data submissions, form approvals, task routing, and stakeholder notifications—ensuring every action remained visible, traceable, and timely.
Notifications triggered at each stage of the process would help reduce bottlenecks, increase accountability, and minimize turnaround times without sacrificing process integrity.
SAP Integration for Data Synchronization
We proposed a direct integration with SAP using the platform’s native connectors. This two-way data sync ensured that vendor master data was auto-populated into evaluation forms and that approved evaluations could be fed back into SAP with no manual duplication.
This level of synchronization was critical to maintaining accuracy and reducing redundant data entry—while supporting real-time alignment between operational systems and evaluation insights.
Reporting and Real-Time Dashboards
For leadership and procurement teams, we embedded dashboarding and reporting tools that visualized evaluation progress, vendor performance metrics, approval statuses, and audit trails. These visualizations offered real-time clarity and strategic oversight—ensuring that vendor decisions were consistently data-driven.
