The Challenge Before Us

A prominent energy services provider faced delays and inefficiencies due to a paper-based vendor evaluation system. This manual process hindered seamless information flow between departments and lacked a structured approach to track and assess vendors. Integration with their existing SAP system was essential for managing and evaluating registered vendors accurately and efficiently.

The Solution We Presented

To address the organization’s need for an efficient and modern vendor evaluation system, we developed a custom Vendor Evaluation System (VES) leveraging the Microsoft Power Platform. This solution, designed to integrate directly with SAP, offered an automated, data-driven approach to streamline vendor evaluations and support informed decision-making.

The VES was developed with core components to digitize vendor evaluations and automate workflows, reducing manual dependencies. A custom Power Apps interface served as the primary user interface, providing team members across departments easy access to vendor information and evaluation forms. This interface was carefully designed to facilitate intuitive navigation and to support vendor evaluation forms that can be tailored to fit specific criteria for each vendor category.

To ensure seamless and automated processes, we incorporated Power Automate, which managed workflows from data entry to approval processes. Automated notifications alerted relevant stakeholders whenever actions, approvals, or data entries were completed, further reducing the need for follow-up emails and calls. This notification system ensured visibility and accountability at every stage of vendor evaluations, keeping all necessary team members updated on pending and completed tasks.

The VES integrated with SAP using the SAP connector in Power Automate. This integration allowed data synchronization between VES and SAP, including the pre-population of vendor data in evaluation forms from SAP and the seamless update of evaluation results back into SAP. This integration enabled bidirectional data flow, which reduced redundant data entry and ensured all vendor data remained accurate and up-to-date across both systems.

Moreover, the system’s robust reporting and dashboard capabilities provided real-time visibility into vendor evaluations. Through these reports, decision-makers could access detailed insights into vendor performance, approval status, and evaluation outcomes. This dashboard provided decision-makers with data-driven insights that improved strategic vendor selection and fostered effective vendor management.
