A prominent media organization in the Middle East struggled with inefficiencies and manual workflows across critical business operations, including IT service requests, gate pass management, and hotel reservations. These challenges resulted in delays, limited visibility into workflows, and compliance risks.
The Solution We Presented
To address these challenges, we presented a comprehensive, tailored solution powered by Microsoft Power Platform. This proposed solution integrated Power Apps and Power Automate Desktop to automate repetitive processes, improve data visibility, and streamline approval workflows across departments, positioning the organization for increased efficiency and long-term operational success.
1. Streamlining IT Service Requests
We proposed the development of a custom Power App designed to simplify the initiation and management of IT service requests. The app was designed to integrate seamlessly with the organization’s existing SQL Server database, allowing for quick and accurate service initiation. Power Automate workflows would facilitate the routing of requests for approvals, automatic ticket generation, and real-time updates to stakeholders, thereby ensuring a smoother service process.
2. Efficient Gate Pass Management
For gate pass requests, we proposed a process that would automate the creation of records in the QMC-MOI database. Power Automate was to be used for user approval workflows, incorporating mandatory compliance checks such as blacklist validation and VIP handling. This design would help ensure that the organization met security and compliance requirements while improving operational efficiency.
3. Simplifying Hotel Reservations for Public Relations
A tailored hotel reservation system combining Power Apps and Power Automate was presented to streamline hotel booking processes for Public Relations staff. The proposed app would allow staff to easily manage reservation requests, trigger necessary approvals, and generate official letters using Microsoft Word templates. Automated email notifications would also improve communication with hotel partners, ensuring smooth coordination.
4. Automating Data Recording with RPA
We recommended integrating a third-party Robotic Process Automation (RPA) tool, RPA Primo, to automate the extraction and recording of data from the Ministry of Finance website. This approach would eliminate manual errors and ensure timely updates to crucial financial records, enhancing the accuracy and efficiency of the organization’s financial operations.
5. Monitoring and Reporting Portal
A comprehensive administrative portal was proposed to provide leadership with an oversight view of workflow statuses, identify process bottlenecks, and generate detailed reports.
